Planning a Trade Show Booth Across U.S. Venues

The USA should not be treated as one uniform exhibition market. The same booth concept may need different installation, freight, utility or contractor planning depending on the trade show and venue.

Start With the Current Exhibitor Manual

Before technical drawings and production are finalized, share the organiser's current exhibitor manual, booth regulations and service deadlines. Event-specific rules normally take priority over assumptions based on another show.

Confirm Contractor and Labor Requirements

U.S. venues can have defined responsibilities for exhibit-building labor, freight handling, electrical work, rigging and other services. McCormick Place, for example, publishes specific union responsibilities and recognises Exhibitor Appointed Contractors, while the Javits Center has its own EAC and labor framework.
This is why installation planning should happen while the booth is being developed—not after production is complete.

Plan Freight Before the Build Is Finished

Freight arrival dates, advance warehouses, marshaling, material handling and dock access can affect how and when the booth reaches the show floor. For machinery or large product displays, dimensions, weight, delivery sequence and positioning requirements should be shared at the beginning of planning.

Identify Venue-Provided Services

Electricity, internet, plumbing, rigging and similar services may have venue-specific ordering requirements or exclusive providers. Orange County Convention Center, for example, directly manages several utility services and publishes separate conditions for EACs, electrical work, rigging and multi-level or covered booths.

Build Approval Time Into the Schedule

Tall structures, hanging signs, covered areas, double-decker concepts, unusual electrical requirements and machinery installations may need additional technical review depending on the show.
Current organiser and venue documentation should always be checked before a design is released for production.

Major U.S. Exhibition Markets Require Different Planning

A USA booth strategy should help exhibitors prepare for multiple commercial markets rather than simply list cities.

Las Vegas

Las Vegas Convention Center is one of the country's major trade-show facilities and supports large exhibitions with extensive exhibit space and venue-specific contractor policies. If your booth involves large structures, suspended elements, extensive graphics or major product displays, show-service and EAC requirements should be reviewed early.
Stall Designs also has first-party U.S. project proof in Las Vegas, including House of Botswana at JCK Show 2026.

Chicago

At McCormick Place, the organiser and general service contractor are key sources for show-specific requirements. Freight, exhibit-building labor, rigging and service ordering can affect both scheduling and execution, making Chicago projects particularly dependent on accurate pre-show coordination.

Orlando

Orange County Convention Center publishes detailed exhibitor guidance covering EACs, electrical services, aerial rigging, fire requirements and multi-level or covered booths. These requirements should be checked while technical drawings are still being developed.

New York

The Javits Center has established exhibitor-service, freight and labor systems, including requirements for Exhibitor Appointed Contractors. Large exhibits therefore benefit from early coordination between the design team, exhibitor, contractor and show-service providers.

Match the Booth to What You Need to Show

A booth should be planned around the actual sales conversation and product—not simply the available square footage.

Manufacturing and machinery

Share equipment dimensions, weights, utility requirements and delivery sequence early. Large products may need to be positioned before surrounding booth elements are completed.

Automotive and engineering

Vehicle or component displays require deliberate circulation, sightlines, technical access and enough space for demonstrations or buyer discussions.

Healthcare and life sciences

Product displays, demonstrations, screens and quieter meeting areas often compete for the same footprint. The layout should establish clear visitor and staff zones before fabrication starts.

Jewelry and high-value products

Lighting, secure presentation, controlled access and close-range product viewing can have a greater impact on the booth layout than decorative features alone.

Sweta Gupta

We have hired them for our stall designing in ihgf fair 2023. That was the worst decision that we have made. They are so unprofessional and inefficient. They promise too high and not even able to give basic structure of stall. Staff is not all experienced. They are not even responsible enough.

Rushabh Malde

It has been a wonderful experience working with you. Thank you for your professionalism, patience, and commitment throughout the project. The stall turned out exactly as we had envisioned, and we sincerely appreciate all the hard work you and your team put into making it a success. Wishing you continued success, and we look forward to collaborating again.

Why U.S. Exhibitors Benefit From One Coordinated Project Plan

A successful booth has several connected decisions: design, production, graphics, freight, technical services, installation and dismantling.
When those stages are planned separately, small changes can create expensive downstream problems. A revised product display may change electrical requirements. A taller structure may require additional approval. A late graphic may miss a production or freight deadline.
Stall Designs can coordinate multiple stages of the project depending on the approved quotation, giving the exhibitor one project brief against which design and execution decisions can be aligned.
The aim is not simply fewer vendors. It is fewer disconnected decisions.

Planning Your USA Project With Stall Designs

The project should begin with the information that affects both creative design and physical execution:
  • exhibition and venue
  • event and build-up dates
  • booth dimensions
  • number of open sides
  • organiser's exhibitor manual
  • products or machinery to display
  • required meeting or demonstration areas
  • graphics and digital-display requirements
  • preferred stand format
  • reference images or existing brand guidelines
  • services you want included
The exact design, fabrication, logistics and onsite responsibilities are then confirmed through the approved project scope.

International Exhibitors: Plan the Goods as Carefully as the Booth

If your company is exhibiting in the United States from overseas, project planning may involve more than sending booth drawings remotely.
Decide early which materials will be produced for the booth, which products or machinery will travel to the event, who will handle freight and customs documentation, and who will be the onsite contact.
Qualifying goods being brought temporarily for exhibitions may be eligible for mechanisms such as an ATA Carnet, while other temporary-import options can also exist. Carnets do not cover every type of product, so your customs broker or freight specialist should confirm the correct procedure for your shipment rather than relying on the booth contractor alone.
Remote design approvals should also leave enough time for technical revisions after current organiser or venue rules are reviewed.

What Can Be Included in a Turnkey Booth Scope?

Depending on the approved quotation, Stall Designs can potentially coordinate:
  • brief collection and space planning
  • 3D booth design
  • technical planning
  • fabrication and production
  • booth graphics and branding
  • furniture and display planning
  • logistics coordination
  • installation
  • onsite project coordination
  • dismantling
Final scope depends on the approved quotation, booth size, design, exhibition, venue requirements, timeline and selected services.

What Affects the Cost of a Trade Show Booth in the USA?

A useful booth quotation cannot be determined accurately from square footage alone.
Cost can be influenced by the booth footprint, number of open sides, construction method, height, materials, finishes, graphics, lighting, AV, furniture, storage, meeting rooms, display systems, product or machinery requirements, freight, venue, installation requirements and project timeline.
A multi-level or highly technical booth also has different planning requirements from a simple modular exhibit.

Frequently Asked Questions FAQs

  • Does Stall Designs support exhibition booth projects in the USA?
Yes. Stall Designs supports exhibitors participating in U.S. trade shows with services that can include booth design, fabrication, branding, logistics coordination, installation and dismantling depending on the approved quotation and event requirements.
  • Can Stall Designs coordinate booth installation and dismantling in the USA?
Installation and dismantling can form part of the project scope, but the execution plan must follow the particular show's venue, contractor and labor requirements. The organiser's exhibitor manual should therefore be shared before technical planning is finalized.
  • Can we use exactly the same booth plan in Las Vegas, Chicago, Orlando and New York?
Not automatically. The creative concept may be reusable, but freight procedures, venue services, EAC requirements, labor arrangements, technical approvals and installation conditions can differ. Each event should be checked against its current manual before the booth is released for execution.
  • What information do you need to prepare a U.S. booth quotation?
Send your exhibition, venue, event dates, booth size, open sides, products or machinery, required meeting/demo areas, preferred booth format, scope of services and any reference design or brand guidelines. An approximate budget is also useful when available.
  • How early should we begin planning?
Begin once your booth space and exhibition participation are sufficiently confirmed to create an accurate brief. Complex structures, machinery, international freight and technical approvals benefit from additional planning time. More importantly, work backward from the organiser's service, drawing and freight deadlines rather than relying on a generic number of weeks.
